I was recently asked, “How do I stay on top of 1000+ AI updates weekly?” Here's my exact system.
You're drowning in AI content. I get it. You need a system.
This one’s for the action-takers. ✔️

My Challenges 🫠
AI moves too fast for traditional bookmarking
300+ Newsletters a week, updates from OpenAI, Anthropic, Google, Microsoft, Grok, 30+ tool vendors, and 100s of social accounts.
I want actionable insights, not just news consumption.
My 3-Stage System 3️⃣
Stage 1: Capture Everything
Multiple email accounts, then each email source is labeled in Gmail, so I can tag
Curated sources: 50+ Websites, 40+ YouTube channels, 100’s of social feeds
The rule: Save first, filter or delete later
Stage 2: Central Command (Notion)
Zapier or Make with ChatGPT 4.1 parses raw data into several Notion Databases: 2nd Brain to take action, To Read, AI Datapoints, Content Ideas, Etc
Tag Everything: Via my 2nd Brain Template by Thomas Frank
Weekly review to QA if loaded into the correct Notion database, or reprioritize

Stage 3: Transform to Action (NotebookLM)
Export key insights to Google Docs via Make for newsletter/course/meeting prep
Select Google Docs into NotebookLM weekly on Sunday from NotebookLM Mindmap
Generate 3-4 audio summaries for weekly consumption
Your Action Plan ✅
Pick ONE central hub (Notion, Google Drive, Etc.)
Set up 3 input streams max
Weekly review + NotebookLM processing
Turn insights into action within 48 hours
Automation is your friend. But you have to put the reps in to make it useful. I’m currently testing Zapier, Make, and N8N, and I’ll have a detailed comparison of the pros and cons in a future Deep Dive.
P.S. If you have not played with ChatGPT Agent, here’s a spreadsheet example for those of us who like numbers. 😌
