Hello...Hello! 👋🏻
Monday morning email overwhelm? You're not alone.
I get on average 420+ emails a day (80 personal and the rest work).
And I hate email. It's a tax on our time.
I’ve been testing this Gmail prompt in both Claude and ChatGPT-5.
(More about getting the most out of connectors on Wed).
Today's prompt does exactly that: it transforms your Gmail into an automatic task categorizer using the Eisenhower Matrix.

🔥 The Email Triage Prompt
Copy this into ChatGPT or Claude (with Gmail connector enabled):
Use my Gmail connector to review the last 7 days of emails for any actionable tasks or follow-ups. For each task you find, categorize it into the Eisenhower Matrix quadrant:
- Urgent & Important (Do First) – tasks that require immediate attention and are critical
- Not Urgent & Important (Schedule) – important tasks that I should plan for soon
- Urgent & Not Important (Delegate) – time-sensitive but can be handled by someone else or in a simpler way
- Not Urgent & Not Important (Eliminate/Defer) – low-value tasks or ideas with no near-term need
For each email task, list a short description and suggest a next step (e.g. “reply by EOD today”, “calendar block next week”, “assign to X”, or “decide to skip”). Format the output as a clear table or a bulleted list, with a section for each quadrant. Ensure each section is labeled with the quadrant name for clarity.
The MarketingAlec Mega Prompt Guide - Battle-tested AI prompts built for real marketers, by real marketers.
Zero fluff or jargon – just actionable prompts, AI tips, and tools that actually move the needle.
Why This Works 🤓
Cuts decision fatigue: No more staring at 50 emails wondering what's actually important
Forces prioritization: The Matrix prevents everything from feeling "urgent"
Suggests action: You get next steps, not just categories
Saves mental energy: Let AI do the sorting, you do the executing
Quick Setup (2 min) ⏰
Enable Gmail in ChatGPT: Go to Settings → Integrations → Connect Gmail
Run the prompt: Paste it exactly as written above
Review the output: Scan for anything AI missed or miscategorized
Take action: Start with "Do First" quadrant
Cheers,
Alec
P.S. On a Free AI plan? Or IT won’t give you Gmail connector access yet? Screenshot your inbox and upload it with the same prompt. Takes 30 seconds longer and still works.
